Reports to: Administration Manager and PA to Editor-in-Chief, i

Purpose of job:

To provide support to the Administration Manager and PA to the Editor-in-chief, i.

The role will include assisting with administrative tasks across all departments to ensure the effective running of the editorial office of i, which comprises around 80 journalists, writers, editors and managers, working in print and online, as well as many freelancers.

We are seeking someone who enjoys working in an office administration role rather than someone seeking to become a journalist.

About i

i is Britain’s brightest and newest national newspaper. It was bought from ESI Media in 2016 and has evolved into a highly successful standalone title, bolstered last year by the relaunch of the iweekend edition. We are currently on a recruitment drive so we can produce even more of our own original content.

The inews.co.uk website has embarked on a period of steep growth. Last year its audience grew by 457%. The i’s editorial staff has grown every year since its launch to match the audience and financial success of the brand across all platforms.

Key areas of responsibility

  1. Assist with all administrative tasks and provide support to the PA to the Editor-in-Chief/ Administration Manager to ensure the effective organisation of the i operation.
  2. Organise travel and accommodation and complete accreditation documents for the sports desk and other departments as required.
  3. Consider applications for work experience and organise placements. Greet interns on arrival and provide induction and login information.
  4. Liaise with IT department to ensure that writers and production staff have the IT support to complete their tasks.
  5. Maintain log of IT equipment assigned to i journalists.
  6. Maintain Health and Safety records and implement health and safety procedures.
  7. Maintain staff contact lists.
  8. Arrange for security passes, press passes, car parking spaces.
  9. Order office stationery and maintain stationery cupboard in good order.
  10. Answer incoming emails and telephone calls as appropriate, taking messages and passing on to relevant person/department.
  11. Meet and greet visitors to the office.


Qualifications and Experience

Essential

  • Experience of working in administration within a busy office, preferably in a media environment, with a proven track record of working to high standards.
  • Experience of working in an environment driven by deadlines.
  • Experience of accurately and methodically maintaining logs and records.


Critical Skills and Competencies

  • High standards of accuracy and attention to detail.
  • Good standard of English Numerate.
  • Good IT skills.
  • Good organisation and document management skills.
  • Ability to multi-task and to prioritise work in order to complete tasks on deadline.
  • Self-motivated - ability to identify and solve problems without being directed.
  • A clear and effective communicator.
  • Sensitive to others, with good interpersonal skills and a good team worker
  • Personable with a positive approach to tasks.
